The "how to" for Virtual Parent / Teacher Conferences!

Virtual Parent / Teacher Conferences require:

Both virtual participants to be logged into a Google Account as LUHS uses Google Meet to host the virtual meeting.
Both virtual participants will need to allow their individual devices to access the video and microphone to fully participate.

Please NOTE: if you do NOT have a Google account, follow the instructions by your teacher. The teacher will be able to provide you with a phone number to call in to participate by voice only.

How to schedule your virtual conference:

Open the link your students' teacher emailed inviting you to self schedule your virtual conference into their calendar.
Now select from the times available. If you do not see times to choose from (like the image below) you are in the correct place! Just on the wrong date!

Please understand that Google calendar, which the appointment calendar you are being asked to schedule on, opens automatically to today's date. It does NOT automaticlly open to the day of the Parent Teacher Conferences. The fix is to simply use the arrows to advance the calendar to the date of conferences.

Parent Teacher Conferences are Monday April 12, 2021 4:00 - 6:30 PM.

3. Now you are on the right day and see the appointment slots available. Next, you will need to hover over the times open to see the exact times available.

NOTE: if you use your Google calendar, your events will show up when you open the link allowing you to see your conflicting appointments.

4. Select the time that works best for you by clicking on it to open the "Book and appointment" window shown here.

About the information in the popup box:

WHAT box identifies that you are meeting for Parent / Teacher Conferences and automatically fills in your name, as you are logged into your G-Mail account allowing you to self-schedule.

WHEN confirms the time and day of your meeting.

WHO confirms who the meeting is with. (The teachers name will appear here as they are the organizer).

WHERE will be blank as you are meeting virtually.

DESCRIPTION provides you the opportunity to ask questions or provide information that is needed for both you and the teacher. Also, provide your students name here if your last name is different from your student.

Last step here - click SAVE!

5. Once your appointment is set this popup will appear to confirm your appointment.

Parent Teacher Conference Day: access your conference.

If you have a G-Mail account, you have a Google Calendar!

Open your calendar. Select today's date and the time of your appointment. Click on this time. Above is what you will see. Join by clicking on "Join with Google Meet."

If you have not allowed access to your computer's microphone and camera - be sure to allow both when you are prompted by your device.

How to "attend" if you do not have a G-Mail account:

Not everyone uses G-Mail from Google. If you do not have a G-Mail account you will not be able to sign up for a conference, however, you do have some alternatives:

You could have your student set up the virtual Parent / Teacher conference using your students Chromebook and school G-Mail.
- Your student will have to login to their Chromebook to access the Parent Teacher Conference schedule sent by the teacher. (Please NOTE you will have to forward the message sent to you to your student to have access to the scheduling link.)
- Both you and your student will easily be able to “attend” the virtual conference.
You could email your students' teachers to set up a time for a phone conference. The teacher will schedule the conference in the system for you and send you the phone number to use to “call in” to participate in the conference. You will not have the video aspect of the Parent Teacher Conference, however you will have the ability to participate.
